Terms and Conditions

How you may use our website, how donations work, how we protect the people in our stories, and how to tell us if something is wrong.

Last updated October 2026

1About these terms

These terms explain how you may use the YAREN Organisation website at yarenorganisation.org, and what you can expect from us. By using the website, you agree to them.

YAREN Organisation Ltd is a refugee led organisation registered in Uganda. We work with refugee and host community families in Kampala, Kyangwali and Bugiri District to build safer, self reliant futures. Our website exists to share that work, to report openly on how we use the resources entrusted to us, and to make it easy for people to support, join or contact us.

These terms sit alongside our Code of Conduct and Safeguarding Policy, which set the standards everyone who works for YAREN follows.

2Using the website

Website information

We work to keep information accurate and current. Programme details, locations, dates, funding figures and opportunities can change, because our work responds to the needs of displaced communities. Please contact our team before relying on time-sensitive information.

Information on this website is general and is not legal, medical or immigration advice.

Acceptable use

You may use this website to learn about our work, support it, and get in touch. You must not:

  • misuse the website, attempt unauthorised access, or disrupt its operation;
  • reproduce protected material without our permission;
  • collect, copy or scrape personal information about the people we serve, our staff or our volunteers;
  • use the website, or anything on it, to locate, contact, harass or exploit a refugee, a child or any other person featured in our work;
  • use YAREN’s name, logo or content to suggest our endorsement, to raise funds in our name without written approval, or to support a political party, candidate or campaign; or
  • submit false, abusive or misleading information through our forms.

We may restrict access for anyone who breaches these terms and, where the conduct may be criminal, report it to the authorities.

3Stories, photographs and the people we serve

The people in our stories and photographs are refugees and host community members, and many are children or adults at risk. We publish their images and stories only with their informed consent, or a parent’s or guardian’s consent for a child, and in line with our Safeguarding Policy. We change names and leave out details such as exact locations where that is needed to keep someone safe.

Please respect the dignity and safety of the people in our content. Do not copy, edit, reshare or republish any photograph or story outside its original context without our written permission. Never use it to identify or contact the people shown.

If you appear in our content and want it changed or removed, or if you think something we have published could put someone at risk, contact us at info@yarenorganisation.org. We will review your request promptly and act on it.

How we use your gift

We account for every gift we receive and use it only for YAREN’s charitable purposes. Funds given for a specific purpose, such as a grant, are used only for that purpose. We publish what we do with the resources entrusted to us on our Reports & Transparency page.

Mistakes and refunds

If you made a donation in error, or believe an unauthorised payment was made in your name, contact us at info@yarenorganisation.org as soon as possible. We will work with Donorbox and Far Away Project to resolve it.

Fundraising in our name

Only YAREN, its fiscal sponsor and people we have approved in writing may raise funds for YAREN. If someone asks you for money in our name and you are unsure, contact us before giving.

5Getting involved, newsletter and personal data

Volunteering, partnerships and enquiries

When you contact us through the Get Involved page, you agree to give accurate information. Sending an enquiry or application does not guarantee a role, placement or partnership.

Everyone who works with children or adults at risk on YAREN’s behalf goes through our safer recruitment checks first. These include references and a criminal record check, as set out in our Safeguarding Policy. Partners and contractors agree to our safeguarding standards before any work starts.

Newsletter

If you join our newsletter, we will send you programme news and community updates. You can unsubscribe at any time using the link in any email, or by writing to info@yarenorganisation.org.

Your personal data

We handle personal data in line with Uganda’s Data Protection and Privacy Act 2019. We collect only what we need for a stated purpose, keep it secure, limit access to those who need it, and do not keep it longer than necessary. We do not sell your personal data.

You may ask to see, correct or delete the personal data we hold about you by contacting info@yarenorganisation.org.

6Reporting a concern

999

Someone in immediate danger in Uganda?

Call the Uganda Police Emergency number first.

You can tell us about any concern connected to YAREN’s work. This includes the safety or treatment of a child or adult, misconduct by anyone acting for YAREN, fraud or misuse of funds, or a request for payment for a service we provide free.

You can report anonymously, although giving your name helps us follow up and gives you stronger protection under Uganda’s Whistleblowers Protection Act 2010. Every report is recorded, assessed and acted on.

Safeguarding concerns go straight to our Designated Safeguarding Lead and are handled under our Safeguarding Policy. We will never retaliate against anyone who raises a concern in good faith. You may also report directly to the Uganda Police, the Inspectorate of Government or another relevant authority.

7Content ownership

The text, photographs, logo, reports and other material on this website belong to YAREN Organisation Ltd or are used with permission. To reproduce any material, contact us for written permission first.

9Limitation of liability

We provide this website in good faith and cannot guarantee that it will always be available, error free or free from viruses. To the extent the law allows, YAREN is not liable for any loss arising from your use of the website or your reliance on its content. Nothing in these terms limits any liability that cannot be limited by law.

10Governing law

These terms are governed by the laws of Uganda. Donations processed by Far Away Project or Donorbox are also subject to their terms and to the laws that apply to them.

11Changes to these terms

We may update these terms as our work and the law change. The date at the top and bottom of this page shows when they were last updated. Continued use of the website after a change means you accept the updated terms.
